Absent: Tim Aho, Jason Hill Discussion: Ron informed the committee that a tree fell on Sullivan school roof Friday Dec. 1 " showed pictures of damage. The football field bleachers are in desperate need of repair. We have in the past allowed the Cheshire fair to borrow the bleachers. It's recommended we stop this practice. Meeting called to order 7:14pm Motion to approve minutes from Nov. 2nd J. Kenyon ‑ 2"d Tim P. ‑ Passed Motion to approve minutes from Nov. 16th J. Kenyon ‑ 2"d Tim P. ‑ Passed Minutes from Nov. 9h are missing. Chuck Johnson will be contacted for those.

 

Karen mentioned in light of the comments at the last board meeting she reviewed the meeting schedule. She noted that the committee had met 17 times since the March election. 3 of those meetings had no quorum and 2 were held for delay while waiting for committee members to arrive. And the public was informed both times that the committee member was in route. Karen thanked the committee members for all their dedication.

 

Public Comments: Dick Bauries told the committee that he felt the Gym warrant was a "lay‑up" clarifying when asked that it meant that it would easily pass. Therefore, he felt that we should attach a bigger ticket item to it. So "we would get something for our trouble". He suggested we attach the roof. But he didn't clarify which roof. (As a note the committee had already stated that the gym roof would be part of this warrant. So it's unclear which roof Mr. Bauries was referring to) Karen clarified that she didn't think any committee member said it would be a "lay‑up".

 

Discussion on Gym Warrant Ron informed the committee that the ceiling was not currently a problem structurally it was simply not visually pleasant. And there were no good products on the market to repair it cost effectively. The committee chose to leave it as is for now. Ron informed the committee that it was recommended that the bleachers not be replaced but rather repaired. The cost of the repair estimate that he has is 12,000. The totals for the whole warrant are now as follows: Roof. $75,000 Ceiling: skip Floor: $90,000 Bleachers: $12,000

 

total ‑ $177,000

 

Ron also told the committee about a new issue with the gym. Water is coming in through degraded door sashes onto the floor. To replace all three double sets would cost. $10,000.

 

The committee added that to the Gym warrant. For a total of $187,000. There has been fund raising for the gym floor and the total raised so far is approx. $40,000 Which would be subtracted from the total warrant article. Motion Colline: 2"d Jon Motion: To Bring to the full board a gym warrant article which would read To raise and appropriate for the repair of the gym floor, roof, bleachers, and doors/casings $187,000 minus the $40,000 already fund raised for the gym floor repair for a total $147,000.

Oil Tank Discussion ‑ Ron updated the committee on the condition of the oil tank. There was discussion on whether to wait until spring or to do the repair now. The committee decided to do the repair now. The repair would include getting into tank extracting bad oil and sludge and cleaning the tank and reassembling.

 

Motion by Colline D. 2"d Jon Kenyon Motion‑ To recommend to the full board the cleaning of the oil tank at the MS/HS by American Tank and Unite Oil recovery in amount of $9099 plus a 20% contingency ($1820) for a total of $10,919 ‑ this amount is to be taken out of the Expendable Trust for Maintenance.

Stage update ‑ Ron gave the committee an update on the stage repair. Steelman Productions will begin demolition on sat and sun. and start repairs on mon. they didn't want any children near the stage or in auditorium while demolition was taking place for safety reasons which is why they are starting on Sat.

 

Curtains ‑ the curtains ordered have come in and provided Mr. Crotto has the cert. of fire retardant they can lx put up. The front curtain has it's cert and can be put back up. All other curtains must stay down until fire retardant certs are validated/ curtains treated with new fire retardant.

 

Stage area was reviewed with Fire Chief ‑ paint needs to be removed and storage needs to be rethought.
